Europa-Park GmbH & Co Mack KG operates Germany’s largest theme park resort in Rust. The resort includes the theme park, a water park, and seven hotels. What makes this structure unique is that multiple companies operate from the same location, some with different business divisions, all of which generate their own revenue streams.

The payment landscape is correspondingly diverse. On-site, guests pay in cash, at an EC terminal, or with a gift card. For online bookings, credit cards, ApplePay, Google Pay, PayPal, iDEAL, and Bancontact are also accepted. A total of nine payment methods, spread across multiple companies and channels, are thus reconciled daily. This process is managed by the Finance & Controlling department, which now uses ReconHub.

The Starting Point: One Resort, Many Companies, Even More Payment Methods

Nine payment methods, multiple companies, various business units: What means convenience for guests is a challenging allocation task for Finance & Controlling. This is because payments are made at countless points of sale throughout the resort: from parking and admission tickets to restaurants and souvenir shops, all the way to the hotel front desk and online booking channels. Each of these payments must be allocated to the correct revenue line for the correct company at the Rust location.

Before introducing ReconHub, the team reconciled these payments manually using accounting software and Excel. This worked, but it had a structural limitation: the reconciliation process wasn’t continuous. It took place at a later time, often so far removed from the actual payment transaction that drawing conclusions and making corrections was virtually impossible.

With the goal of further professionalizing the financial processes of the growing resort, the team therefore sought a solution that would transform reconciliation from a one-time, mandatory task into an ongoing control process.

The Challenge: Real-Time Monitoring Instead of Retrospective Analysis

The key requirement was not simply to identify individual discrepancies. The goal was to identify them while they were still meaningful. A discrepancy noticed weeks later can be recorded in the books, but its cause is often no longer traceable. This is exactly where Europa-Park came in: Reconciliation should take place in a timely manner so that anomalies can be clarified immediately and their causes resolved.

The structure of the site added to the complexity. Multiple companies, some with different business areas, meant different data sources, revenue streams, and responsibilities. A solution had to accurately reflect this organizational structure without losing the big picture.

The Solution: A Platform Where All Information Converges

Europa-Park learned about ReconHub through Abrantix’s sales team. Four factors were decisive in the decision: time savings by freeing up key resources, cost savings, significantly greater transparency across all transactions, and the automation of accounting processes.

According to the team, the implementation went very smoothly and efficiently, accompanied by good training sessions and in-depth technical discussions. The biggest challenge in the project was setting up the organizational tree: The structure, comprising multiple companies and business units, had to be mapped in ReconHub, and the appropriate reconciliation rules had to be determined. This work was successfully carried out in collaboration with ReconHub. Preparatory informational sessions and training ensured that the team embraced the new solution from the very beginning.

After three months, the onboarding was complete. From the team’s perspective, the integration into existing systems and processes went smoothly and without major hurdles.

Since the introduction of ReconHub, Europa-Park has been reconciling its accounts consistently and in a timely manner. The key outcomes:
